Brightside Community Homes Foundation (“Brightside”) is a private-sector, non-profit organization that owns and manages 26 buildings across the city of Vancouver, providing affordable homes to those who struggle to meet the demands of market housing. In addition to property management, Brightside is committed to building connections within the Brightside communities that include over 1000 residents.

 

OPPORTUNITY

Brightside is seeking a passionate and people-centered individual for the role of People & Culture Specialist. This position will report directly to the Manager, People & Administrative Operations, under the guidance and leadership of the Chief Operating Officer (“COO”). This individual will focus on both the people-operations and HR functions for the organization (of approx. 35 employees), as well as the administrative governance. We are seeking an individual who wants to create meaningful impact, be a culture and inclusion champion, and be accustomed to working in a fast-paced, forward-thinking environment, while also handling complex administrative duties.

 

MAIN AREAS OF FOCUS

  • To provide a complete range of Human Resources & Administrative services to ensure organizational success and resilience.
  • To facilitate the implementation and execution of People & Culture strategies, policies, and programs to enact Brightside’s commitment to Diversity and Inclusion and support employees through all steps of the employment life cycle.
  • To maintain (and elevate) Brightside’s unique and thriving workplace culture by providing excellent employee relations, building strong relationships, effectively resolving issues and concerns, and promoting a collaborative team environment.
  • To perform high-level, administrative functions that respects confidentiality and ensures that administrative matters of the Board and/or organization are addressed and organized in a professional and timely manner

 

KEY DUTIES & ACCOUNTABILITIES (PEOPLE & CULTURE)

  • Facilitate all aspects of the employment life cycle in accordance with Brightside’s established HR/People-First Plan with a focus on Equity, Diversity, and Inclusion;
  • Serve as a ‘Culture Champion’ to drive employee engagement initiatives, events, and programming to foster and maintain Brightside’s vibrant employee culture;
  • Facilitate smooth, organized, and consistent onboarding of new hires and ensure new employees are set up for success;
  • Identify, track, and manage analytics on key HR metrics;
  • Facilitate administrative processing and data entry of HR-related employee information such as onboarding documents, timesheets (and OT hours), vacation and personal care leave entitlements, benefits forms, birthdays, and change of address, with the utmost confidentiality and accuracy;
  • In coordination and in support of the COO, ensure staffing levels are appropriate and monitored based on business needs;
  • Co-develop and implement a strategy to plan for employee transitions, promotions, retirements, and/or resignations by assessing succession planning goals;
  • Facilitate and/or develop new programs, policies, and procedures to support Brightside’s ability to ensure continuous improvement of employee performance and well-being;
  • In coordination with the COO, facilitate annual employee programs including: employee surveys, performance management, training & professional development, compensation programs, group benefit plans, RRSP matching program, service recognition and special awards;
  • Together with the Manager, People & Administrative Operations, research, advise and stay up to date on changes in employment law and compliance with federal and provincial legislative requirements related to employment and safety;
  • Maintain filing and distribution systems for records and files including, but not limited to: confidential information, personnel files, payroll files, financial information and other sensitive documents; and
  • Other duties, as assigned by the Manager, People & Administrative Operations and/or COO.

KEY DUTIES & ACCOUNTABILITIES (ADMINISTRATIVE SERVICES)

  • Perform administrative duties in support of Brightside’s Board of Directors with strict confidentiality and professionalism;
  • Prepare and maintain professional documents including, but not limited to: agendas, briefing notes, Board packages, meeting minutes, presentations, spreadsheets, correspondence, lists, forms, and constating documents;
  • In support of the COO, assist with/coordinate effective Board meetings by ensuring well-defined agendas are presented and distributed in a timely manner, and invited parties are identified and provided with advance notice of the meeting date;
  • Facilitate ongoing Board communication and information distribution using the ‘Boardable’ on-line platform;
  • Prepare and transcribe detailed meeting minutes for accurate record keeping of key-decisions made by the Board of Directors;
  • Work alongside other administrative staff as needed to ensure administrative needs of the organization are met, such as: answering, redirecting or responding to incoming calls or voicemail messages, providing general information about the organization, assisting, announcing, and (re)directing visitors as needed, accepting/processing rent payment(s) from residents and issuing receipts; and
  • Provide cross-departmental, administrative support and/or other duties or projects as assigned by the Manger, People & Administrative Operations.

QUALIFICATIONS & DESIRED SKILLS

  • Minimum of two to three (2-3) years experience in human resources, focused on people & culture or a similar/equivalent people-serving role;
  • Minimum of two to three (2-3) years experience in high-level administration;
  • Practical working knowledge of the BC Employment Standards Act, Human Rights Code, and WorksafeBC;
  • People & service focused: Exceptional commitment to delivering the highest levels of integrity and service to both internal and external stakeholders and maintaining Brightside’s reputation as a top and values-based employer;
  • Open and approachable demeanor with the ability to relate, communicate, and support people at all levels of the organization, while providing effective coaching, advice, support and guidance, when appropriate;
  • Proven experience in all/several functional areas of HR and employee relations;
  • Impeccable listening, writing, communication, and empathy skills with a strong personal integrity and commitment to Diversity and Inclusion;
  • Demonstrated ability to work with discretion in preparing and handling/addressing information of a confidential or sensitive nature;
  • Previous experience with Board administration and/or transcribing meeting minutes would be preferred; and/or a related field would be an asset.

 

ADDITIONAL INFORMATION

The successful incumbent will be an experienced HR generalist and will be a natural communicator, generally curious and inquisitive, with adept problem-solving skills, and a confident humility. They will have a natural ability for multi-tasking, an eye for detail and processes, and well-developed writing skills. They will be a highly ethical, organized, independent, self-starter that thrives on challenges, but works well as part of a team. They will promote and foster a culture and environment that is productive, open, empowering, safe, and equitable and inspire others to conduct themselves in accordance with the organization’s core values. A criminal record check for working with vulnerable children and adults is required for this position.

Expected salary range for this position: $70,000-$78,000/year (to commensurate with experience) with a generous Paid Time Off (PTO) benefit.
