Resident Relocation Administrator

Full-Time, Permanent Position
Brightside Head office, Downtown Vancouver, BC

Brightside Community Homes Foundation (“Brightside”) is a private-sector, non-profit organization that owns and manages 26 buildings across the city of Vancouver, providing affordable housing to those who struggle to meet the demands of market housing. In addition to property management, Brightside is committed to building connections within the Brightside communities that include over 1000 residents.

 

OPPORTUNITY

Brightside is currently seeking to fill a full-time, permanent position on to join our Community Real Estate team in the role of the Resident Relocation Administrator, reporting to the Director, Community Real Estate. The purpose of this position is to provide administrative support focused on the relocation process of our residents that must be re-housed due to large capital projects and/or redevelopment.

 

MAIN AREAS OF FOCUS

  • To serve as the administrative lead associated with resident relocation and to provide general office/departmental support.
  • To coordinate and support residents in collecting and completing detailed documents related to housing applications for relocation within Brightside and other housing organizations.
  • To support the scheduling and logistics associated with in-suite viewings, move-ins, and move-outs.

 

KEY POSITION RESPONSIBILITIES

  • Assist with educating residents about their relocation options, alternatives, rights and responsibilities;
  • Attend “office hours” at redevelopment buildings with Resident Relocation Coordinator(s);
  • Meticulously document ongoing interactions with residents;
  • Support ongoing communication and response(s) to resident inquiries throughout the relocation process;
  • Coordinate and support residents in collecting documents related to income reviews, rental subsidy programs (i.e. SAFER) and BC Housing applications and other housing applications related to relocation;
  • Coordinate the identification of housing options within the Lower Mainland, as well as other service needs that might be identified in the relocation process;
  • Coordinate and prepare administrative documentation required for relocation and ensure timely submission to the City of Vancouver, as required;
  • Liaise and coordinate with moving companies, hotels, partners, other affordable housing organizations, third party landlords, internal staff and community-based agencies, as required;
  • Support and assist with the preparation of relocation information, materials and meetings;
  • Assist with public open houses and public hearings activities, as required;
  • Adhere to Brightside’s internal Resident Relocation Policy and Procedures and ensure alignment with external, provincial legislation;
  • Follow an advance schedule for each building to ensure proper resident notification and follow-up of notices for relocation;
  • Support the coordination of the ‘Right of First Refusals’ and residents’ return/move-back to the new building;
  • Assist in completing updates to the Resident Relocation Handbook; and
  • Other duties as required.

SKILLS & EXPERIENCE

  • Minimum of two years varied clerical experience in office administration, including contact with diverse members of the public and/or vulnerable populations
  • Must possess a valid BC Driver’ license.
  • Proven ability to communicate effectively in English – verbally and in writing
  • Strong administration, organizational and time management skills.
  • A Bachelor’s Degree or Diploma or a combination of relevant education and experience required.
  • Ability to demonstrate patience, tolerance, diplomacy and exercise tact and good judgement when dealing with a variety of clients of diverse cultural, educational and socio-economic backgrounds and behavioral issues.
  • Ability to preserve and respect resident confidentiality.
  • Excellent interpersonal skills, with good conflict resolution skills.
  • Sound practical knowledge of Windows-based programs including Word, Excel, and PowerPoint.
  • Be a team player that demonstrates a positive attitude, is personable and courteous in working with all levels of staff and management.
  • Must have the ability to maintain a flexible schedule as some meetings may necessitate scheduling outside regular business hours.
  • Experience with income reviews, BC Housing, SAFER and Yardi Voyager would be an asset.

 

ADDITIONAL INFORMATION

  • Breakdown of duties: 70% Administrative support for resident relocation; 30% Calls and meetings with residents and attending office hours;
  • The successful incumbent will be a self-starter with well-developed organization, administrative and time management skills and the proven ability to work with minimal supervision. They will be personable, possess excellent communications skills (both written and verbal), and be accustomed to working with the general public and individuals with diverse cultural backgrounds. Ideally, the successful incumbent will be highly detail-oriented and have a desire to work for a mission-driven organization.
